Booking Terms
The short version of what you need to know before you book. Our full Terms and Conditions are available as a PDF below, we recommend you read those too.
Booking and Payment
A 30% non-refundable deposit secures your place. Once we receive your deposit and send written confirmation, you're in.
The remaining 70% is due 60 days before the retreat starts. We'll send you a reminder invoice before that date. If the balance isn't received by then, we reserve the right to release your spot.
All prices are in Australian dollars and include GST.
Minimum Numbers
Our retreats require a minimum of 9 confirmed guests to go ahead. We assess this 6 weeks before each retreat.
If we haven't reached the minimum by then, we will notify you promptly and offer you a choice:
A full refund of everything you've paid (including your deposit), or
A full credit toward any future Elsewhere Retreats retreat, valid for 24 months
We will never leave you hanging, if a retreat isn't going ahead, you'll hear from us as early as possible.
If You Need to Cancel
We understand life happens. Here's how our cancellation policy works:
Notice given before the retreat Refund More than 60 days Full refund, minus your 30% deposit 60 days or less, more than 30 days 50% of the total price refunded 30 days or less, or no-show No refund.
Cancellations must be sent in writing to hello@elsewhereretreats.com.au. The date we receive your email is the date your cancellation takes effect.
This is exactly why we require travel insurance (see below) and a good policy will cover cancellation costs in most cases.
Transferring Your Booking
Can't make it? You can transfer your spot to someone else, as long as:
You let us know in writing at least 14 days before the retreat
The new guest meets our medical and fitness requirements and submits their own Medical Declaration
A $100 administration fee is paid at the time of transfer
Bookings can only be transferred once.

Travel Insurance: Required
Travel insurance is not optional, it is a condition of booking with us.
Your policy needs to cover trip cancellation, emergency medical expenses, and personal accident during outdoor physical activities including trail running. You'll need to confirm your policy details on your Medical Declaration form.
We are not responsible for any loss, cost or expense that would have been covered by appropriate travel insurance.
Your Health and Fitness
Our retreats involve guided trail runs of 7km to 20km across three days on moderate trail terrain. You don't need to be an elite runner, but you do need to be able to comfortably run at least 10km before attending.
All participants must be 18 or over.
Before your booking is confirmed, you'll need to complete our Medical Declaration and Waiver Form. This covers your medical history, fitness level, emergency contacts and consent to treatment.
Some medical conditions require a doctor's clearance letter before we can confirm your place — including pregnancy, recent surgery, cardiac conditions, and uncontrolled diabetes. Details are on the Medical Declaration form.
If your health changes between submitting your form and the retreat, please let us know.
Changes to the Programme
The natural environment is part of what makes our retreats special and part of what makes them unpredictable. We reserve the right to adjust trail routes, timings, activities or facilitators at any time, particularly in response to weather, fire danger or safety concerns. We'll always do our best to provide an equivalent experience.
Photography and Content
We take photos and video during the retreat for use in our marketing on social media, our website and in future promotional content.
By attending, you give us permission to use images taken during the retreat for these purposes.
If you'd prefer not to be featured, let us know before the retreat and we'll do our best to respect that. Just email us at hello@elsewhereretreats.com.au.

We want the retreat to feel safe, joyful and respectful for everyone.
